New account - what to do first ...
 
Your account has been initialized with the room-types, room-numbers and rates that you entered during registration,
and your PSA username is your email address (for example: "reservations@hotelsandbox.com".
You can change that now, to something more convenient like "admin@hs".
 
To change your PSA username:
In the hoteliport window, go to Admin / Primary System Settings and click the Show PSA data button.
Change PSA Username to your preferred username, scroll down and click Save Changes.
You may now log out and log back in again with your new username.
 
Set your time zone:
The correct date and time are cruicial for correct system operation, so you should immediately set your time zone.
In the hoteliport window, go to Admin / Primary System Settings and select your time zone from the drop-down list.
Scroll down and click Save Changes.
You have to log out and back in again to effect the change.
 
Complete / modify configuration of room-types and room-numbers:
There a few more settings needed to complete configuration ...
In the hoteliport window, go to Admin / Room Types and Room Numbers.
 
Please hover your mouse-pointer over the icons and read the help texts. This will help you learn what each section does.
 
The room-type selector "Select a room type to edit" at the top controls the whole form, so make sure that you select the room-type that you want to edit.
 
Set the Bedding Codes:
The bedding codes are shown next to the room numbers on the Calendar page so reception staff can see at-a-glance the bed configuration of each room.
  • S = single
  • S/S = single plus single
  • S/S/S = single plus single plus single
  • D = double
  • D/S = double plus single
  • D/D = double plus double
  • D/S/S = double plus single plus single

Bedding codes can be set using the Rename this room function.
Select the room number, click the Rename this room button, select the bedding code and click Rename.
Housekeeping staff (who normally do not have access to the Admin page) can also change bedding codes on the Housekeeping page.
 
Persons and beds per room in this Room Type:
The data in this section is used in several places:
- It is shown beside the Room-type names on the Calendar page so reception staff can see at-a-glance how many persons and possible extra beds a room-type can accommodate.
- It affects prices in hoteliport Booking Window (our online booking engine that you can use with your hotel website).
- It is sent to Online Travel Agents (OTAs) by the Channel Manager.
Again, please hover your mouse-pointer over the icons and read the help texts. This will help you learn what each section does.
 
Room type description and Room type images are required only for hoteliport Booking Window - you can deal with this later.
 
Finally, scroll down and click Save Changes.
 
Adjust rates:
The rack-rates that you entered during registration were used to make your "Walk-in" rate-plans from the day of registration to the end of the following year.
If you now need to adjust rates for specific dates or date-ranges, you can do that using the Rate-plan Manager.
First, read the Help topic "Rate-plan Manager". The first section, on Walk-in Rate-plans will tell you what you need to know.
 
Rate-plan management is one of the most important functions in hoteliport.
It is extremely powerful and parts of it are somewhat complex, but certainly not impossible to learn.

Invoice Configuration:
An invoice is automatically generated for every reservation entered into the system. There are a few settings which need to be configured.
These settings have been initialized with useful example values, so you should adjust them now before you enter any reservations into the system.
Go to Admin / Invoice Configuration and enter the appropriate values.
Scroll down and click Save Changes.
 
Enter Existing Reservations:
You are now ready to enter your existing reservations into the system.
Read the Help topic "Make a Reservation" under "Folio" to learn how to do that.
